Privacy Policy

This Privacy Policy explains what information VIMO Labs may collect, how it is used, and the privacy choices available to creators and users.

Last updated: September 20, 2026
01

Overview

VIMO Labs ('we', 'us', or 'our') respects your privacy. We build creator tools and automation applications with a strong commitment to data minimization and user trust.

This Privacy Policy describes how we handle personal information, account data, and technical telemetry across our website, authentication portals, and desktop applications.

02

Information You Provide

When you create an account, purchase a license, or communicate with our support team, we may collect the following information:

  • Account identification: Name, email address, and avatar image.
  • Billing details: Transaction identifiers, payment reference tokens, and subscription tier status (raw payment card details are processed directly by our payment partners and never stored on our servers).
  • Communications: Feedback, bug reports, and messages sent to hello.vimolabs@gmail.com.
03

Social Sign-In (Google Authentication)

If you choose to register or sign in using a Google account, we receive basic identity information authorized by you via OAuth standard protocols:

  • Your Google account email address.
  • Your public display name.
  • Your Google profile picture URL.
  • Provider account identifier token.
RESTRICTED SCOPE NOTICE

We only request standard OpenID/profile identity scopes. VIMO Labs does NOT access your Google password, Gmail inbox, Google Drive files, or contacts.

04

Product & Technical Information

To verify desktop license activations and diagnose software stability, our client applications may send basic operational metadata:

  • Operating system type and build version (e.g. Windows 11).
  • Application version and build number.
  • System locale and preferred display language.
  • Machine hardware identifier hash (solely used for single-device license validation and preventing unauthorized seat sharing).
  • Anonymized crash logs and error codes when an unhandled application exception occurs.
05

Creator Content & Video / Audio Data

Creator workflows often involve high-resolution video files, audio tracks, voice clips, and subtitles. Our policy regarding your creative assets is straightforward:

1. Desktop-First Processing: Whenever feasible, video localization, subtitle hardcoding, and preview rendering run locally on your hardware using FFmpeg and local engines.

2. Cloud AI Features: Certain specialized workflows—such as neural voice synthesis, Whisper ASR cloud transcription, or multi-LLM translation—may transmit specific text or audio segments to cloud processing endpoints.

3. Privacy by Default: Creative media is transmitted securely via TLS and used exclusively to generate the requested output. We do not sell your video or audio files.

06

How We Use Information

We use collected information solely for genuine operational and product purposes:

  • To authenticate your identity and administer your VIMO Labs account.
  • To activate, validate, and manage software licenses across your authorized devices.
  • To execute AI processing tasks requested directly by you.
  • To provide customer support, troubleshoot technical issues, and address bug reports.
  • To safeguard our services against fraud, unauthorized distribution, and malicious misuse.
07

AI & Third-Party Processing

When you invoke AI-powered tools, relevant inputs (such as transcription prompts or translation source texts) are processed through secure APIs.

Our integrations adhere to standard enterprise privacy guidelines. We choose processing partners that agree not to use API customer data to train foundation models without explicit creator consent.

08

Information Sharing

We do NOT sell, rent, or trade your personal data to data brokers or advertising networks.

We only share data with trusted service providers under confidentiality agreements, strictly to operate our platform:

  • Cloud infrastructure & database hosting (e.g. Cloudflare / Supabase / AWS).
  • Authentication providers (Google OAuth).
  • Payment processors (VietQR banking rails or global payment providers).
  • Legal authorities, only if compelled by a valid court order or statutory requirement.
09

Data Retention

We retain account details as long as your account remains active. Temporary telemetry logs and activation tokens are purged periodically according to system maintenance cycles.

TODO: CONFIRM RETENTION POLICY

Detailed retention timetables for cloud-processed transient media will be specified upon production launch of cloud rendering pipelines.

10

Data Security

We implement industry-standard administrative, technical, and physical measures to safeguard your account credentials and transmission channels, including HTTPS/TLS encryption in transit and encrypted database storage.

While no method of electronic storage or internet transmission is 100% immune from compromise, we regularly review and upgrade our security controls.

11

Your Choices & Privacy Rights

Depending on your jurisdiction, you may have rights regarding your personal information, including:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Update inaccurate or incomplete account details via your dashboard.
  • Deletion: Request closure of your VIMO Labs account and deletion of associated data.
  • Revocation: Revoke Google OAuth permissions at any time via your Google security settings.
LEGAL REVIEW REQUIRED

Jurisdiction-specific privacy addenda (such as GDPR for EU/EEA and CCPA for California) will be incorporated upon international expansion.

12

Cookies & Local Storage

Our web apps use lightweight browser storage mechanisms solely for essential operational functionality:

  • Session authentication cookies to maintain your login status securely.
  • Local storage flags to remember your theme preference (Dark or Light mode).
  • Language selection preference (English or Vietnamese).
13

Children's Privacy

VIMO Labs services are designed for adult creators and professionals. We do not knowingly collect personal information from individuals under the applicable legal age.

LEGAL REVIEW REQUIRED: AGE POLICY

Age threshold definitions (13 vs 16 vs 18) are subject to final regional legal review.

14

International Data Transfers

Because our cloud infrastructure may utilize geographically distributed servers, your information may be processed in countries outside your country of residence.

We ensure appropriate contractual and technological safeguards to protect your information wherever it is processed.

15

Changes to This Privacy Policy

We may update this Privacy Policy as our ecosystem expands and new creator tools are introduced. The updated version will be posted here with a refreshed 'Last updated' date.
